The problem

Ten vehicles with eight expiring documents each is eighty dates a year, spread across different renewal cycles, sitting in a folder, a WhatsApp thread and somebody's memory. It works until the one time it doesn't.

CNG cylinder hydro-testing every three years and speed governor calibration are the two that operators consistently miss, because nothing prompts them.
Drivers expire too

Contract carriage and all-India tourist permit validity, including state authorisations.
- Road tax & green tax
Quarterly or annual cycles depending on how the vehicle is registered.
- VLTD & panic button
GPS device certification and its renewal — mandatory and routinely overlooked.
- Speed governor
Calibration certificate validity.
- CNG cylinder hydro-test
Mandatory every three years. The single most commonly missed item on a CNG fleet.
- Commercial DL
Per driver, not per vehicle, with badge and licence tracked separately.
- PSV badge
Public service vehicle badge renewal for each driver.
